Who we are

CliniqNow is clinic management software. This policy explains what information we hold, why, and what you can ask us to do with it.

Clinics use CliniqNow to keep their patients’ records. For those records, the clinic decides what is recorded and why, and we process them on the clinic’s behalf. For the details of people who contact us or register a clinic, we decide how they are used.

What we collect

From clinics: the clinic’s name, address and contact details, and the names, email addresses, phone numbers and roles of the staff who use CliniqNow.

Patient records entered by a clinic: details such as name, age, contact details, visits, findings, prescriptions, bills and documents. These belong to the clinic.

From this website: what you type into our contact form, and basic technical information such as your browser and the pages you visit, so we can keep the site working.

To see how people use this website, we count page views and a few steps such as starting and finishing a clinic registration, using PostHog. This uses no cookies, and does not include anything you type into a form. It covers only this website, never the clinic app or patient records.

How we use it

To run CliniqNow for the clinic: storing records, showing them to the clinic’s staff, printing, and producing summaries and reports the clinic asks for.

To reply when you contact us, set up a demo, and help a clinic with its account.

To keep CliniqNow secure and working, and to improve it. We do not sell personal data, and we do not use patient records for advertising.

AI features

When a doctor uses dictation or summaries, the relevant part of the visit is processed to produce text for the doctor to check. It is used only to provide that feature to the clinic.

Where it is kept and who can see it

Data is stored in India, in Google Cloud’s Mumbai region, and is encrypted at rest and in transit.

A clinic’s records are visible only to that clinic’s staff, according to their roles. Our team accesses a clinic’s data only to provide support the clinic asks for, or where the law requires it.

We use trusted service providers, such as our cloud host, who process data only on our instructions.

The website’s page-view counts are held by PostHog in the United States. Clinic and patient data never goes to PostHog.

How long we keep it

Patient records are kept for as long as the clinic uses CliniqNow, and then returned to the clinic or deleted as the clinic asks, subject to any period the law requires medical records to be kept.

Contact form messages are kept for as long as needed to deal with the enquiry.

Your rights

Under India’s Digital Personal Data Protection Act, 2023, you can ask to see, correct or erase your personal data, and to withdraw consent where we rely on it.

If you are a patient, please contact your clinic first, since it controls your record. We will help the clinic respond.
